Internal E-Learning Portal for Knowledge Preservation & Engagement
01/05 Project Context
The organization faced high employee turnover, low engagement, and uncertainty due to upcoming reorganizations. Some departments had little work, leaving employees feeling disposable and demotivated.
To preserve critical knowledge and maintain engagement, I created an internal academy where employees became teachers, sharing expertise with colleagues. They were supported with resources to produce creative content such as videos, graphics, and interactive lessons, ensuring both knowledge transfer and a renewed sense of purpose.
Summary
- Preserve critical knowledge in a rapidly changing environment.
- Empower employees as teachers supported with creative tools.
- Build structured courses with lessons, quizzes, and projects.
- Provide certificates with unique QR validation for authenticity.
- Enable dual UI modes (dark and light) for user preference.
- Integrate progress tracking & notifications for both students and teachers.
02/05 Challenges
Traditional documentation methods (work instructions, static files) were ineffective at retaining and engaging talent. With turnover increasing, valuable expertise risked being lost. Additionally, employees were skeptical of investing time into new processes during a period of uncertainty. The challenge was to create a system that was both motivating and lightweight enough to become part of their routine.
Employee Motivation
Overcome disengagement and skepticism about organizational changes.
Knowledge Retention
Prevent loss of critical expertise with structured knowledge sharing.
User Experience
Create an intuitive platform with engaging content formats.
03/05 Solution
I developed an e-learning portal with a library of structured courses, each containing chapters, lessons, and projects. Lessons were designed to be short and engaging: either text and images or videos capped at 7 minutes. Knowledge checks and quizzes ensured learning retention at each stage.Certificates were generated with unique codes and QR validation for authenticity. Teachers received notifications if learners were inactive, prompting in-person follow-ups and sparking departmental collaboration beyond the portal.
Structured Learning
Courses built with lessons, quizzes, and final projects to ensure applied knowledge.
Certified Achievement
Unique certificates with QR codes linking to authentic digital copies.
Engagement Notifications
Alerts for teachers on inactivity, encouraging personal interaction with learners.
04/05 Technical Aspects
The portal was designed with modularity and user experience in mind. Each course contained chapters, lessons, and quizzes, culminating in a final project. A lightweight interface allowed users to switch between dark and light UI themes. Automated validation ensured learners passed quizzes before advancing, and certificates were digitally authenticated.
Course Structure
Hierarchical design: courses → chapters → lessons → quizzes → projects.
Certificate System
Generated with unique identifiers and QR codes linking to a digital version.
UX Features
Dual dark/light UI, intuitive navigation, and streamlined progress tracking.
05/05 Outcome & Reflection
- Increased engagement: employees felt empowered as knowledge creators.
- Preserved expertise: critical organizational knowledge was retained despite turnover.
- Authentic recognition: certificates with QR codes boosted credibility and motivation.
- Blended learning: personal follow-ups made the experience more impactful than standard e-learning.
Lessons Learned
- Blending digital learning with in-person interaction creates stronger engagement.
- Keeping lessons short and interactive is key for retention.
- Future iterations could integrate stronger analytics for measuring learning outcomes.
